New in TASKey TEAM Version 4.2.1
TASKey TEAM and TASKey Me2Team now can also be used on a mobile.
So you can use TEAM or Me2Team on a computer via a web browser, or on your mobile, using a mobile web browser. 
Note: No install is needed on your client computer or mobile (only a browser and a connection to the Internet).

Notes: 
1.                   The mobile version can be used on both mobiles and computer web browsers with low bandwidth.
2.                   Updates made in the classic version also show on the mobile version and updates made on the mobile version also show on the classic version.

Changes

Filtering of Actions:
Filters on the ToDo List that include dateless Actions filter them by the Task dates for the Task to which they belong

Windows Authentication is now supported for logging users in to TASKey TEAM.

URL Page lets you bookmark a Task, so you can return directly to it later.  It also provides URL's that you can use in other applications such as SharePoint.

Task Team Assistant, a tool that enables you to edit multiple Task's teams in bulk.

Changes

Documents tab has been renamed 'Links'.  The Links dialog is easier to use and supports typing in URL's.  The 'Browse' button has been removed from the dialog.

User Admin screen's layout has been changed.

New Login

Logging in is easier now with the options of User or Administrator login on the first screen.

General Changes

To indicate that TEAM is working to perform a function you have set in motion, the wording on the button will change. Save will say saving; Find will change to Finding etc.

The word "Actual" has been removed from Start and End dates.

Improvements have been made for handling large volumes of users.

When sorting either the ToDo list or Action tab by the Responsible person, the list will sort by first name.

A variety of new warnings will appear in different situations.

Progress of a Task has been refined.

Changes to a Milestone Task

Where previously a Milestone task had to start and end on the same date, now by using times, it can occur over a 24 hour period.
A Milestone task doesn’t support dateless actions. Task dates and times are entered by default when an Action is saved and action dates and times must be within the Milestone task dates and times.

Changes to Filters

Task List Filter
The look and usability of the Peoples and Resources tab have changed

ToDo list Filter
Predefined filters now have square brackets to indicate they are predefined filters.
Two new filters have been added - [All Dated Actions] and [My Responsibility Dated Only]

Custom filters now allow a dated only option.
The Save button shows on People tab as well as the main tab.

Sharing of ToDo list reports

There is often a need for managers or other team members to be aware of your workload, what commitments you have, or what you have already achieved.

The share tab allows you to give other TEAM users read only access to ToDo List Reports of your Actions via their own logon.

You can share with other TEAM users who share Division membership with you or with whom you are working on existing tasks. They are able to see a report for all actions on your ToDo list, regardless of whether they can see those actions in the tasks on their own task tree or not.

 

More Search options

Search now allows filtering by extra criteria:
start date range, end date range, my responsibility and completed status.

Action highlighting to show the relevant action from a link in the action name, or the last action that was viewed, edited or added.

The relevant action will highlight on the action tab, (and on the ToDo list if applicable) from links from the Action name in:

The Today screen, such as from Change notifications related to actions, overdue actions or actions due today

Search results of Actions

Shortcuts – in the Shortcut section, plus also from the shortcut icon in the action name

Dependencies - in the Dependencies section on the Action tab, plus from the Dependencies arrow icon in an action, the relevant dependent action is highlighted.

On the Action tab, as well as the ToDo list, the last action that was viewed, edited or added highlights.

This includes an action or suggested action that has been viewed from a link, or has been added, opened, or edited on the Action tab or ToDo List, or an action that was edited from the Alarm display window.

Online and Enterprise versions:

Task List Filters and Reports show action level information
The Task Actions and Task Plans reports now display the Action team members.
The Task List custom filters now allow reports to filter to the action level: only those actions within the filtered tasks that fit defined criteria will be shown in the appropriate reports. (eg people in the action team, or actions between certain dates etc.)
Similarly times rollups are filtered according to the people defined.

Admin Logon – extra fields added for User details in User Admin screen.
Position and Phone number have been added.

If data is entered in either or both of these fields, this information is shown with the user’s name on the User login in the overlib for task and action team members. (ie when the cursor is held over the user’s name, the position and/or phone number, if any, also display.)

All financial reports that allow export of details via a csv file have been standardised and some improvements have been added.
This encompasses details of both Resources and Times in the CFO reports in the Admin logon, as well as for the extra reports available in the User logon to users with appropriate financial viewing rights.

Easier Document Listing and access
You no longer need to enter the full UNC path when listing a document location in order to access a document that resides on a network drive.

Various Help updates, bug fixes and minor enhancements.

 

Optional Exchange Integration Enhancements only

A TASKey TEAM Category can now be used to quickly add Outlook Tasks and Calendar items, or to convert existing items, to synchronize with TEAM.

Integration with mobile devices now allows an item to be added on the device, using categories.

Blackberry integration is possible using a Blackberry server and Exchange Server

Integration of linked TEAM Online users with their organisation's own Exchange server is now possible – please contact support@taskey.com for more information.

Some issues regarding the different ways that Outlook and TEAM handle dates and times have been resolved.

Extra security has been added for custom forms – form cannot be edited.

The Action team members section on the TASKeyTEAM tab on the custom form displays for each user which Outlook options are selected in TEAM (Don’t Sync, Appointment, or Task) - or “Unlinked” for users who are not linked for Exchange integration.

Changes to the Outlook Synchronisation Folder (OSF)

  • ToDo list when Outlook Synchronisation Folder is selected - Editing is not available on the ToDo list if the OSF is selected. Any task can be selected in order to edit ToDo actions.
  • The context menu is not available for the OSF, because actions cannot be edited until moved to a task.
  • The Edit Action window is read only - Responsible person has no drop down list – you can only edit the person responsible when the action is moved to a task.

Validation for a user with no existing tasks, or for a new user who has not yet logged into TEAM.

TEAM now gives you the option of 33 different change notifications!
Extra notification subscriptions include:

  • More notifications for actions
    Including action completed, added to action, responsibility changed and more.
  • Acceptance or rejection of a suggestion
  • Task completion

More on screen prompting and warnings

  • Deleting tasks warning shows how many subtasks will also be deleted
    The number includes all children, including the number of unseen subtasks.
  • Option to give a reason for deletion of tasks and actions
    The reason is attached to the notification sent to affected people.
  • Action dates changing task dates to cause a task blowout

New Options on the Task List Custom Filter

  • New Action tab and Action team membership on the People tab
    Filtering of tasks by Action team membership and/or action properties is now possible.
    Tasks can be filtered according to action team membership and/or action dates, status, type, alarms or responsibility.
  • Wild card options for Task Code and WBS
    You can filter tasks by Code and/or WBS using * or ? wild cards.

Actions, Notes, Resources, Times and Document tabs show the number of items present

Smarter Search shows more information and remembers the search for the current session
Search results now show dates and creator/responsible information.
The search results remain on display for the current session, and even updates if new data is added which fits the results.

 

Report modifications
Appropriate Task List and ToDo Reports now all have action end dates, plus some other minor modifications.

Action start default time of 12:00AM is now entered if no other time is added

Exchange Integration for Outlook extended and improved

  • Non intrusive Exchange server installation and operation
    TEAM/MS Exchange Integration has a significantly improved technical architecture designed to minimise impact and risk on Exchange Server operation.

  • Improved Security for Linking of TEAM Users to Exchange mailboxes
    The linking menu has been removed from TEAM. Users are now linked by an administrator with write access to the required mailboxes, using an executable available in the start menu.

  • New polling synchronisation
    A different method is used which is designed to minimise impact on the speed of saving synchronised items to Exchange.

  • Calendar items now synchronised as well as Outlook tasks
    Appointments and meetings may be added and edited in TEAM or Outlook. Attendees who are TEAM users can be synced to a TEAM action.
    Outlook tasks and calendar items can be synchronised to a PDA from Outlook.
    Outlook appointments can be “completed” in Outlook to keep TEAM actions and tasks up to date.
    The same action in TEAM can be synchronised as an Outlook Task for one action team member and an Appointment for another.

  • New Outlook column drop down box in Action dialog to choose Don’t sync, Appointment or Task
    These options are displayed for Exchange enabled and linked users when they become part of the action team.

  • Outlook Synchronisation Folder
    When items are added in Outlook, they are synchronised in TEAM in a special folder. They can then be moved into an appropriate task where they may be edited. This folder replaces the Exchange Actions task that was used in V3.5.

The WBS and Text 1 fields now import into TEAM as the WBS and Task Code fields.

  • Email Notifications
    You now have the option to subscribe to standard notifications and/or Email Notifications. This provides a more direct communication of important task changes and other information. Email notifications show the same details of any new Changes as would show on the Today view if subscribed to standard notifications, and are sent at 15 minute intervals.
  • Isolated Tasks
    If you have a situation where you wish particular people/clients to view one area of the task tree only, this can now be done by isolating the task. Special rules apply to both visibility and editing of isolated tasks.
  • Divisions
    New screens in the Admin console allow enhanced management of Divisions. Individual users and teams belong to a Home Division, but may be members of several divisions.
    1. Visibility of available task team members is restricted to those members and teams who are in the same division(s) or who can be seen contextually because they share membership of a task team.
    2. Business process outsourcing and other processes are powerfully enhanced by combining isolated tasks and Division membership.
    3. Teams administration has been moved to the Admin console. Teams have a Home Division, and can be a member of other Divisions, in the same way as individual users. Individual team members, however, can belong to different Divisions.
  • PDF Progress Reporting
    You can now generate a PDF Report from the Progress view. Together with Adobe Reader it allows you to customise your reports with personalised headers and footers, amongst many other features.
  • Indenting and Outdenting via Arrows
    Now invokes the same involvement /visibility rules as for adding a task or sub task, and for drag and drop.
  • Report Designer
    Has many features including:
    1. Default templates unable to be modified.
    2. Design option only available to Administrators.
    3. All users have access to run reports.
  • Drag and drop has been extended to Task Notes.
  • Various enhancements to existing features such as additional warning dialogs.

New In TASKey TEAM Version 3.2

TASKey TEAM 3.2 incorporates many new features that users have requested. These include:


Action Shortcuts
You can now create a Shortcut which enables you to access an Action from more than one Task.


Context Menus
There is now a right mouse click option on all tabs to access different choices on the new Context Menu.

With a simple right click of the mouse users are able to choose from a variety of options relevant to the part of TEAM they are currently working in.

The Context Menu options obey normal TEAM security, so users can only perform the same functions they could normally do in TEAM.


Dependent Action Editor
Dates for actions with dependencies that are part of a workflow can be adjusted from one screen. This facilitates fast and easy planning when circumstances change.


Resources and Times
Resource and Times Reports for viewing costing details have been enhanced allowing users with extra task financial rights to see costing rollup information for all subtasks belonging to a task. The details can be exported via a csv file.

An even more powerful version of this option is available under the Admin Logon for Chief Financial Officers. A user with these rights can access all resources and times where a cost is present for all tasks across the organisation via a csv file.


Action Notes available in reporting
Action notes now print in full from the Task and Action tabs and in summary on the Task List reporting options.


Time zone validation at logon
Users are required to validate their individual timezone when they log on to the system for the first time.


My Responsibility.
New filter options on the ToDo list allow for the selection of actions by My Responsibility only, as well as filtering by any combination of Action team members.


Display of Action date/times in one column
There is a new look to the Action Tab with the start/end date and time sharing one box which allows more room for the Action name.


Optional add–on client applications
Improvements to the MS Project Importer and the release of the new Report Designer.
Report designer allows customisation of TEAM reports in different formats.

New In TASKey TEAM Version 3.1

TASKey TEAM 3.1 incorporates many new features that users have requested. These include:


Integration with Microsoft Outlook, through Microsoft Exchange

This feature is only available in the Enterprise version of TASKey TEAM, for organizations with MS Exchange.

TASKey TEAM users in an Exchange enabled installation can be linked to their mailbox in MS Exchange. This allows users to mirror TASKey TEAM Actions in MS Outlook as Outlook Tasks.

Once in Outlook, actions can be copied to a mobile device, such as a PDA or mobile phone, through the Outlook / mobile device synchronization functionality.

Actions can be managed in TEAM. Outlook or the mobile device.

Actions added in TEAM can be selected to show only in TEAM, or in both TEAM and Outlook.


Drag and Drop Functions

Drag and drop functions have been implemented to move or copy Tasks and Actions; and to add Task team members (individuals and teams) to tasks.

Copied tasks behave in the same way as a pasted task template.

You can only use drag and drop when you have editing rights to both the target task and the tasks or actions involved.


Task tree Enhancements
The usability of the Task tree has been enhanced.


Gap Tasks
There are times when a user is a member of a task team for only a few tasks within a project.

For example, a person may only see two tasks, a parent task at a higher level and another task at a lower level, but they are unable to see the immediate parent task of the lower level task. The reason for this is that the user is not involved in the immediate parent task and is therefore unable to see it.

Therefore this lower level task cannot be shown as being a direct sub-task of the task on a higher level as there is one, or a number, of levels of tasks in-between. When this situation arises a special icon is used in the tree between the lower and higher level to denote that the lower level task is a gap task (also called a non-immediate descendant).


Responsible or Delegate Sub-Task Ordering
TEAM no longer allows task team members without editing rights to the parent task to move sub tasks up or down.

This means that the person responsible for a parent task (or their delegate) can decide on the sub task framework, and everyone who can see any sub tasks will see them in the same order.

This makes it easier to coordinate a large project with many sub tasks.


Start and End Dates/Times for Actions
TEAM now provides Start and End Dates/Times for TEAM Actions.


Alarms available for all action team members
Alarms in TEAM can now be set for any action team member (not only for the person responsible). Once set, individuals maintain full control over their own alarms. For TEAM actions that show in Exchange, alarms in TEAM show as reminders in Outlook and vice versa.


Fixed Active Priorities
The default Reference Data for Priorities now contains the Fixed Active Priorities of High Normal and Low. These priorities cannot be made inactive. The default priority that shows for a new action or objective is Normal .

For an Exchanged linked action, these are the only priorities available. Other actions can have custom priorities if desired.


Admin button on User logon changed to Options button
The Admin button on the main header for the User logon has been changed to Options. This avoids any confusion with the Admin logon.
